Procurement Process Analysis & GenAI Automation Roadmap

Mapped procurement workflows, identified manual bottlenecks, and built a GenAI-powered use-case repository for automation.

The Problem

Procurement had lots of manual steps scattered throughout daily tasks. Data entry between systems. Email triage and response. Document processing and extraction. Routine approvals and classifications. Supplier communications. Each task consumed time that could be better spent on strategy and negotiation. But there was no clear picture of which tasks were actually suitable for GenAI automation versus just general automation. Leadership wasn't sure where AI could add real value versus where it would just be expensive overkill.

What I Built

Conducted deep process analysis across procurement workflows. Mapped daily tasks, identified repetitive manual steps, and documented pain points for each process. Built a comprehensive use-case log specifically focused on GenAI automation opportunities. For each use case, I documented: the manual task, the friction point, how GenAI could solve it, and what the implementation would look like. Included feasibility analysis for each opportunity: effort to implement, time savings, accuracy improvement, and dependency requirements. Not just 'GenAI could do this' but 'here's specifically how, here's what it costs, here's what you get back.' Prioritized the backlog based on impact and implementation complexity, identifying quick wins versus longer-term investments.

The Impact

Gave procurement a clear inventory of GenAI automation opportunities. They could see exactly where AI would eliminate manual work versus where traditional automation made more sense. Built a prioritized roadmap so procurement could start with high-impact, achievable GenAI projects and build momentum. Created a repository they could reference when evaluating new GenAI tools or building business cases for automation projects.
